Privacy Policy

ProDoc AI is operated by TaskOrb. This policy explains what personal data is collected when you use the ProDoc AI web application and mobile app, how it is used, and your rights under UK GDPR.

1. Data Collected

TaskOrb collects only what is necessary to deliver the service:

Email address — collected during account verification via one-time passcode. Used for account identification and credit management only.
User ID — a randomly generated identifier stored locally on your device to link your credit balance to your account.
Document inputs — answers you provide when generating a document (names, dates, figures, etc.). These are forwarded to Anthropic's API to produce your document. They are held in server memory only for the duration of your session and are not permanently stored.
Session completion records — when a document is generated, a log entry is written containing: document type, document title, session ID, timestamp, and anonymised usage metrics (word count, quality score, export format). No document content or personal identifiers beyond session ID are written to this log.
Service operation logs — anonymised records of AI service calls (model used, processing time, token counts, cost estimate). These contain no personally identifiable information.
Purchase records — credit purchase confirmations processed by Apple, Stripe, or RevenueCat. TaskOrb receives only a notification to add credits; no payment card details are stored by TaskOrb.

2. How Data Is Used

3. Third-Party Processors

Anthropic — document generation via Claude API. Your document inputs are processed by Anthropic solely to generate your document. Privacy Policy
Resend — one-time passcode email delivery. Privacy Policy
Stripe — payment processing for web purchases. Privacy Policy
RevenueCat — in-app purchase management (iOS & Android). Privacy Policy
Apple — App Store purchases (iOS). Subject to Apple's privacy framework.
Railway — cloud infrastructure hosting. Data is processed in EU/US data centres.

4. Data Retention

Active sessions — document inputs and generated content are held in server memory only. Sessions are automatically evicted after 24 hours of inactivity.
Session completion records — anonymised log entries (document type, title, timestamp, metrics) are retained for up to 90 days for service analytics, then deleted automatically.
Service operation logs — anonymised AI call records are retained for up to 90 days, then deleted automatically.
Account data — your email address and credit balance are retained in a secure database while your account is active.
Purchase records — payment confirmations are retained as required by applicable law and for dispute resolution.

5. Security

All data is transmitted over HTTPS. Payment processing is handled entirely by Apple, Stripe, and RevenueCat — TaskOrb never stores card details. The account database is access-restricted and hosted on Railway's secure infrastructure.

6. Children

ProDoc AI is not directed at children under 13. If you believe a child has submitted personal data, contact info@TaskOrb.com and it will be deleted promptly.

7. Your Rights (UK GDPR)

UK users have the right to access, correct, delete, or port their personal data, and to object to or restrict its processing. To exercise any of these rights, email info@TaskOrb.com. We will respond within 30 days.

You can request deletion of your account and associated personal data at any time. Session logs and anonymised analytics records that contain no personal identifiers may be retained for the periods stated above.

8. Policy Updates

This policy may be updated periodically. The date at the top of this page reflects the latest revision. Continued use of the service after a material change constitutes acceptance of the updated policy.
